Guest Policies

 While we strive to always provide accurate information, please note that verbal misquotes on rental rates, property description or policies will not be honored.

Office Hours. We are open Monday-Saturday, 8:00 am-5:00 pm, Central Standard Time.

3 Free Videos per Day.  Pointe South Vacation Rentals will provide 3 free movie videos/DVDs per day for your enjoyment when renting our properties. Movies can be picked up at the Pointe South Vacation Rentals office.

Specials and Exceptions. We offer specials throughout the year. Please visit our website for current specials. Summer Season:  Most properties rent on a weekly basis from Saturday to Saturday. Please call our office for exceptions. Spring, Fall & Winter:  Most properties require a three-night minimum on advance reservations.

Rental Payment. An advanced reservation payment will be required to confirm your reservation. This may be paid by cash, e-check, traveler’s checks, bank cashier’s check, or credit card (Master Card, Visa, Discover, or American Express). If you are paying with a check we will need to receive the check within five (5) days of initial reservation. The amount of deposit required is 30% of the rent plus the service fee, Travel Insurance Premium and tax. Reservations made under false pretenses of any kind will result in the forfeiture of all rental payments and fees as well as cancellation of your reservation.

Rental charges are payable in full thirty (30) days prior to the arrival date. Some properties require payment due in full ninety (90) days prior to the arrival date.  If you do not contact us before final rental payment is due, we will charge the payment type on file for unpaid rental charges on the date when payment is due.  We accept cash, traveler’s checks, bank cashier’s check, and credit cards (Master Card, Visa, Discover or American Express) for the initial deposit. Our preferred method of final payment is by e-check. Credit cards are not accepted for monthly rentals.

Service Fee.  A non-refundable $55.00 service fee will be charged to all reservations. 

Sales Tax. A 7% sales tax plus 4.5% occupancy tax is added to all reservations at the time of reservation. This tax applies to all fees and charges including Rent, Administration Fee and Cleaning Fee.

Property Assignments. When you confirm a reservation, we will assign you to a particular property. However, we cannot guarantee specific assignments and requests.

Cancellations/Reservation Changes.  In the event you must cancel, please telephone our office as soon as possible so that we can attempt to change dates or switch properties. Once your reservation deposit has been received, there will be no refunds given, unless you have purchased CSA Travel Protection. If you have purchased CSA Travel Insurance contact them at 800-554-9839 to begin your claim.

Travel Interruption Insurance. Travel protection is available through CSA Travel Insurance. The insurance premium is 6.5% of your total reservation amount and is automatically added to your balance when you book your vacation. The plan is optional and can be declined by signing a waiver form that is included with your reservation confirmation. This needs to be sent to GuestServices@SouthernResorts.com no later than 10 days after making your reservation. Please understand that no refunds for any reason will be given without the purchase of CSA Travel Insurance. If you have any questions or need more information please contact them at 800-554-9839.
To view our CSA Travel Insurance policies, visit here. In the event that an existing tropical storm becomes a named hurricane, CSA will not allow you to purchase the Trip Cancellation Insurance during that time period.

Hurricane Evacuation and Refunds. In the event of a mandatory evacuation due to hurricane or other storm, you are required by state law to evacuate the property. Refunds for the period of mandatory evacuation will be made only by CSA, provided you purchased the optional trip cancellation insurance.

Check-in Time.  Check-in time is after 4:00 P.M. Local Time. In some instances, access to your unit may be unavoidably delayed due to cleaning or maintenance issues. There will be no discounts offered due to a late check-in. Your patience will be appreciated in these circumstances. Guests who will be arriving later than 5PM should make late arrival arrangements by telephone prior to arrival. Early check-ins require special arrangements and may be available for an additional fee. Call 866-492-0509 for details.

Late Arrivals. If you will be arriving after office hours, your keys will be left in the pick-up lockbox which is located on the exterior wall of the back side of our office. Please call ahead during business hours to make arrangements for this service.

Damages.  If damage occurs during your stay, please let us know immediately. Your service fee includes our Peace of Mind Protection Plan. For details please see below.

Lock Out Fee.  In the event you are locked out of your accommodation after business hours, call our office and someone will meet you at the office. A $50 charge is payable directly to the representative for this service.

Pool Availability. Pool availability and pools with heaters (hot tubs, pools) are not guaranteed with any rental reservation. No refund will be given for unavailability or lack of heat.

Fireworks. No fireworks are allowed on porches, decks, wooden walkways and beaches.

Check-out Time. Our check-out time is 10:00 am on your departure date and is strictly enforced unless you have opted for a late check-out (additional fee). All keys must be returned to the Pointe South Vacation Rentals office and all persons and vehicles must vacate the premises. Please follow the check-out conditions listed below.

Departure Responsibilities. We ask our guests to leave their property in the same general condition as it was found. (Note: Additional cleaning charges may apply)

• All furnishings must be placed in original positions.
• Leave kitchen items clean and returned to their proper place.
• Dispose of all trash in the outside trash receptacle or in trash chutes.
 • Check under beds, behind doors and in all drawers, closets and dryers for your personal items.
When requested, lost items left behind will be returned with a mailing fee charged to your credit card on file.
• Close and lock all windows and doors.
• Return all keys, movies and wristbands to the Pointe South Vacation Rentals office. There will be a $5.00 fee for each key not returned, a $10.00 fee for wristbands not returned and a $20.00 fee for each movie not returned.

Bed Linens.  Bed linens and towels are furnished with all rentals from Pointe South Vacation Rentals. Beach towels are not included and should be brought from home. We do not permit towels, sheets, blankets or furniture to be removed from the property. Beach chair and umbrella services operate in the area. Please make sure all linens are left in your rental property and are accounted for prior to your departure.

Trash. Place trash in outside receptacles or trash chutes.

Telephones. All properties have telephones. They all have blocks on long distance calling. You will need a calling card, prepaid phone card or credit card to make long distance calls.

Internet Access. Internet access is available for some, but not all properties. If internet access is available, you will need to bring your own Ethernet cable. We do not, however, guarantee internet connectivity due to service being provided by an outside vendor, restrictions from personal computers, and several other factors that may lead to interruption of internet service. If you decide to access any Internet content during your stay, you do this entirely at your own risk and you are responsible for ensuring that any accessed material does not infringe the laws governing, but not exhaustively covering, copyright, trademarks, pornography, or any other material which is slanderous, defamatory or might cause offense in any other way.

In the event the internet service is inoperable, we will do our best to troubleshoot over the phone but if it requires further assistance, the guest will be responsible for contacting the internet provider. No refunds will be given due to loss of internet service.

Grills. Guests are not allowed to bring grills to our properties. Some properties may have grills on site. Please check with our reservation staff for availability.

Utility Outages or Interruptions. As part of life on Perdido Key, we occasionally experience power outages or other utility interruptions that are beyond our control. We report outages as each occurs. No refunds will be given for any outages.

Construction/New Rental Property.  No refunds or moves will be made due to location near a construction site. New properties under construction are indicated under rental description. Specifications and amenities are subject to change. The availability is not guaranteed until construction is completed. If the property is not ready for your occupancy, we will try to locate comparable accommodations. If none can be found, a complete refund will be made.

Rentals for Sale. If a property should go on the market for sale, it may be shown to qualified buyers. Every effort to schedule the showing at a convenient time as not to interrupt your vacation will be made. In the event that a property should sell and no longer be available, every effort to find similar accommodations will be made. If none are available, a complete refund will be given.

Pets/Smoking. Our properties do not allow pets. No smoking is allowed in any of our properties. Renters having pets or found smoking in our properties will be subject to immediate eviction without refund of rent. 

Management. All properties are individually owned and are managed by Pointe South Vacation Rentals, a Southern Resorts Company. We serve as the agent and representative of all property owners and act at all times in the best interest of the owner. We reserve the right to refund deposits, refuse rentals or discontinue occupancy if in our opinion the renter is detrimental to the property. Any reservation obtained under false pretense will be subject to forfeiture. Authorized employees may enter the premises for any purpose to manage the rental. We will not be responsible for accidents or injury to guests or for loss of money or valuables of any kind. Every effort has been made to assure that our information and descriptions are accurate. Pointe South Vacation Rentals cannot be held responsible for changes made by owners in furnishings and amenities, printing errors or errors on our sites. Rates, descriptions and availability are subject to change without notice.

Maximum Number of Guests. The allowable occupancy for the rental property is based on the following sleeping arrangements:

  • 2 persons per bedroom
  • 2 persons per sleeper sofa
  • 1 child under age 16 per bunk bed

Guests who exceed the maximum occupancy are subject to immediate eviction and forfeiture of all rental payments.
Family Rentals Only! All of our vacation accommodations are family rentals ONLY. NO units will be rented to vacationing students or young adults (under 25) unaccompanied by a responsible parent or guardian. A PARENT OR GUARDIAN MUST BE STAYING IN THE UNIT AT ALL TIMES. OUR RENTAL UNITS ARE MONITORED FOR VIOLATION OF THIS POLICY. ALL VIOLATORS WILL BE EVICTED AND ALL RENTAL PAYMENTS AND/OR SECURITY DEPOSITS WILL BE FORFEITED. In accordance with Florida State Statute 509.141, RESERVATIONS MADE UNDER FALSE PRETENSE ARE NULL AND VOID AND CHECK-IN WILL NOT BE ALLOWED. This policy includes reservations made by parents or guardians who do not check in, and/or who leave overnight during the length of the stay. NO EXCEPTIONS! We require one parent or guardian for every four persons under the age of 25. During the spring break period, special registration policies will be in effect: the ratio for each reservation must be one parent or guardian per every two persons under the age of 25. No Subletting. The rental property may not be sublet. Your reservation is not transferable to any other party.

Housekeeping/Maintenance.  Every effort is made to have your rental property clean and all equipment in good working order. Even the newest or best-maintained equipment occasionally malfunctions. Upon arrival, if you find any housekeeping or maintenance problems, please notify our office at 850.492.1148. If you are a late arrival, please notify us of any problems you may have by 10:00 am the next morning. If we have not reported promptly during your stay, we cannot remedy the problem. If we have not heard from you by this time, we will assume that you found your property in acceptable condition. No refund or rate adjustment will be made for unforseen failures such as the supply of electricity, waters, pool filtration systems, air conditioning, telephons, television or cable service, appliances, etc. If items left behind are found and wish to be returned there will be a $25 service charge plus shipping.

Property Rules and Regulations. Please observe all rules and regulations governing the use of the property you are occupying. These rules apply to both owners and guests, and failure to comply can result in eviction.

Parking. Parking permits will be issued at check-in. All properties have limited parking spaces available. Most properties restrict parking for boats, boat trailers, recreational vehicles, motorcycles etc. If allowed, they should be parked in designated areas. Prior to check-in, please check with the office for parking instructions.

Each Association regulates the number of parking passes issued to rental guests for each size property within the building(s) or neighborhood. Some of the Associations may assess a fee for parking; we will collect this fee and remit to the Association.

Peace of Mind Protection Plan
Limited Damage Protection

TERMS OF PROTECTION
As a Guest (the person registered and all persons occupying the same rental unit) you are entitled to the Peace of Mind Protection Plan while staying at a Southern Resorts property. The Peace of Mind Plan is subject to the conditions, terms, and the administrative procedures listed below. The maximum amount that the Plan will cover is $2,000 per stay.

CONDITIONS
The Peace of Mind Protection Plan has certain conditions. The Plan will not include liability for damage or theft resulting from:
1. Acts of God 
2. Intentional acts of a guest.
3. Gross negligence or willful and wanton conduct.
4. Any cause, if the Covered Guest does not report the damage to Southern Resorts staff.
5. Normal wear and tear.
6. Theft without a police report.
7. Damages caused by any pet or other animal brought onto the premises.
8. The Plan applies only to the direct physical loss or damage to covered property. It does not cover loss of use of such property.
9. Coverage does not apply for theft or damage of any property owned by or brought onto the premises by a Covered Guest.

TERMS OF PLAN 
1. The Plan takes effect at check-in.
2. All coverage shall terminate upon normal checkout time of the unit or the departure of the Covered Guest, whichever occurs first.

ADMINISTRATIVE PROCEDURES.
The Guest must report any loss or damage to the unit or its contents immediately to Southern Resorts management staff at 866-492-0509. This limited damage protection is void if not reported promptly. Representatives of Southern Resorts have ultimate administrative authority. Arbitration is required before litigation. The prevailing party in any arbitration of litigation shall be entitled to recovery and/or reimbursement of all fees in connection with it.
